Crisis Communication Rapid Response Plan to Counter Negative Publicity

Steps to implementing a rapid response plan to a crisis communication or negative publicity situation.

It may not be possible to accomplish all steps of the plan, but an attempt should be made to do as many as possible. 

  1. Write and release an official statement dedicated to addressing the concerns of the mother who wrote the negative letter to the newspaper.
  2. Write and distribute a "Media Advisory" focused on the Blood Bank's current shortage situation and emphasizing the importance of making the public aware of the need for more donations as soon as possible.
  3. Choose and brief a spokesperson.
  4. Schedule and announce a news conference.
  5. Develop talking points for the spokesperson. Rehearse them if there's time.
  6. Record minutes of the news conference.
  7. Make an audio/video recording of the news conference if possible. Offer it to the media by posting it online or making it available as a video download.
  8. Provide a list of experts for the media to interview. Attempt to have at least one, preferably two or more of these experts available at the news conference.
  9. If possible, have several donors available who can talk about the Blood Bank's systems for contacting previous donors when a shortage occurs.
  10. If possible, have persons or families who have benefited from the Blood Bank's services available for interviews and testimonials at the news conference.
  11. Refer media to the Central Blood Bank online newsroom for additional information, quotes from experts, testimonials, standard operating procedures, donor qualifications and a list of frequently asked questions.
  12. Coordinate with social media planning team.
  13. Plan “desk side” alerts and briefings for those media who cannot attend.

In such situations, the Blood Bank works closely with physicians and officials of local hospitals to provide blood to those who need it most while securing backup supplies as quickly as possible from established sources. These could include affilated blood banks and appeals to the community through the mass media.

There has never been an instance in which someone who needed blood died, or their health was seriously compromised, because of a blood shortage at the Central Blood Bank.
